Auxiliary Meeting Minutes

April 19, 2023

Meeting was called to order by Becky and a prayer was given by Becky.  Becky led us in the Pledge and Preamble.  Becky gave an update on Lynn and passed around a card to send to her.

Roll Call:  officers present:  Secretary, President, Treasurer and Parliamentarian and 2 other members. 

Secretary’s Report:  Minutes from January 18, 2023 were read and approved.

Treasurer’s Report:    Andrea reported there is a current balance of $3,830.57 in the general fund and a balance of $5,316.36 in the restricted fund.  There was no further discussion.

Membership:  The goal for this year’s membership is 150.  We currently have 122 members:  118 seniors and 4 juniors.  Dues are going up to $35.00 next year and the juniors will remain at $7.50.

Communication:   none

Old Business:  Marilyn stated she had not heard from NHHS about Girls’ State.  He has not given her a name.  We voted to support a girl from another unit if there is no one from NHHS.

New Business: 

                Becky reported the VA hospital in Ft. Wayne needs t-shirts, underwear and summer shorts.  The baby shower is May 22.  We will send a $500.00 check to split between the two items.  We have adopted a veteran from the VA home but decided to just support the veterans in our area.

                Poppy discussion:  We will go to Do-it-Best the last week of May.  Becky will go to there to check out the facility.  Marilyn and Barb will offer poppies at the Memorial Day service at Schnelker Park. 

                Becky discussed her conversation with Pam Shook, Department President, about our current situation.  She said we do not have to have all of the officer positions filled and we can have fewer meetings. She told Becky there are e-units now.  She suggested we go in with another unit to have fundraisers and split the proceeds.

                Becky recommended we have 3 meetings next year:  August 21, 2023, October 16, 2023 and April 16, 2024.  There were approved. 

                Brenda suggested we donate $150.00 to New Haven Parks and Recreation Department as a thank you for letting us use the building for our meetings.  It was approved.

                Our next meeting is May 17 at Ziano’s at 6:00.

IN MEMORY OF LINDA HILTON

  1. One scholarship will be awarded for $1,000 and one for $500.
  2. The scholarship will be available to high school seniors whose families are members in good standing of the American Legion, Auxiliary, American Legion Riders or the Sons of the American Legion Post 330.
  3. The awarded scholarship is to be used for post-secondary education expenses. The recipients must attend a college, vocational/technical or other postsecondary institution for the 2023-2024 school year.
  4. The award will be based on career and educational goals, grades achieved in school, involvement in extracurricular and community activities and on the essay written for the scholarship application.
  5. Applications may be requested by email from squadron330@yahoo.com or from the guidance office at New Haven High School.
  6. Applications must be typed and should be mailed or delivered to:

American Legion Auxiliary Minutes; January 2023

Auxiliary Meeting Minutes

January 18, 2023

Meeting was called to order by Becky and a prayer was given by Becky led us in prayer and the Pledge and Preamble.  Becky gave an update on Lynn and passed around a card to send to her.

Roll Call:  officers present:  Secretary, President and 2 other members.  Also present was Nancy Schlatter, 4th District President was current.

Secretary’s Report:  Minutes from November 16, 2022 were read and approved.

Treasurer’s Report:    Andrea reported there is a current balance of $$4,215.07 in the general fund and a balance of $5,315.96  in the restricted fund.  There was no further discussion.

Membership:  The goal for this year’s membership is 150.  We currently have 101 members:  98 seniors and 3 juniors.  Nancy printed info for membership to give to us.  We discussed our current situation.  She will attend our next meeting with a membership representative from 4th District.  She gave us dates for 4th District meeting and encouraged members to attend.  Those dates are February 8 at Garrett,  April 12 at Waynedale.  Food is served from 5:30-6:30 and the meeting begins at 7:00.  If you are interested in going, contact Becky.

Old Business:  Becky talked to the former President of the Woodburn Auxiliary and she will get word out about the possibility of their former members coming to Post #330 Auxiliary.

New Business: 

                Becky gave a report on the progress of the Legion sharing a building with VFW.  Any Legion family  member going to the VFW has to have membership with both organizations due to excise laws.  At the Legion meeting in January, a vote was taken and the results were to not go to the VFW at this time.

                Our adopted veteran from the VA home in West Lafayette passed away and our new “adoptee” is Paul Lucas.  Becky sent him a gift set for Christmas.

                Becky gave a report about the veterans’ day gathering and Christmas party at Majestic.  Paul Meyer played Santa and we provided snacks, as well as the gift sets.  Marilyn and I discussed having an activity in the summer for the veterans.  We will talk about that at a later date.

                The March meeting has been cancelled and our next meeting will be April 19.

                Marilyn stated the Girls’ State money is due in March.  We agreed to sponsor a girl.  Marilyn with follow-up with that.

American Legion Auxiliary Minutes; November 2022

Auxiliary Meeting Minutes

November 16, 2022

Meeting was called to order by Becky and a prayer was given by Andrea. Becky led the Pledge and Preamble.

Roll Call:  Officers present:  Secretary, President, Treasurer, Parliamentarian, Chaplain and 3 other members

Secretary’s Report:  Minutes from September 22, 2022 were read and approved.

Treasurer’s Report:    Andrea reported there is a current balance of $5,031.60 in the general fund and a balance of $5,088.71  in the restricted fund.  There was no further discussion.

Membership:  The goal for this year’s membership is 150.  We are at 45.33% of our goal.  Brenda has received several renewals online.  The deadline for paying dues is December 31, 2022.  If you have not renewed by July, 2023, you will be removed from the roster.

Communication:   There was a thank you letter from the Fort Wayne VA hospital for the food donation we made in August.  Becky received a letter from State about adopting a veteran from the Marion VA hospital.  We will do that.  Our adoptee is Willy Letson.  He will be sent cards.  Becky will find out if he is in need of some cash for the canteen, or other things.

Old Business:  Becky called the former president of the Auxiliary in Woodburn regarding their members joining our Post.  She has not heard from anyone.

New Business: The State Auxiliary dues are increasing by $6.00 beginning with the dues for 2023-2024.  After some discussion, a motion was made and approved to increase our chapter dues by $5.00.

               There was some discussion about providing some incentive about getting members to pay dues.  We voted to have a drawing for a gift card for gas for  hose who pay dues in the next couple of weeks.  I talked to Brenda and she felt this would not be fair to those who have already paid.  I totally agree with her and made the decision not to follow through with this. 

               Becky gave an update on the Legion status.  Ed Klotz, Irv Arnold and Larry Beardsley, from the Legion, met with Dick Lineberry and Lynne Bowland (and several others) representing the VFW.  There is a very strong possibility the Legion will be sharing facilities with the VFW.  There are some minor issues to be worked out.  Dick Lineberry is the President of the VFW Post 2457.  He will be sending a letter to the VFW members and have a meeting to discuss this.  But it sounds pretty promising.  We will know more after the first of the year.  However, the Auxiliary members are choosing to continue to hold meetings at the New Haven Community Center.

               The Christmas party for veterans at Majestic Healthcare Facility is December 20 at 10:30.  Paul Meyer, a longtime Legion member and Santa “impersonator” will be there as Santa.  Help is needed for pushing wheelchairs and serving the snacks.

               The next meeting is January 18, 2023 at the New Haven Community Center.

September 21, 2022

Meeting was called to order by Becky. Becky led the Pledge and Preamble.

Roll Call: Officers present: Secretary, President, Treasurer, Parliamentarian and 6 other members

Secretary’s Report: Minutes from May 18, 2022 were read and approved.

Treasurer’s Report: Andrea reported there is a current balance of $3,861.15 in the general fund and a balance of $3,491.21 in the restricted fund. There was no further discussion.

Membership: The goal for this year’s membership is 150. Renewal letters were in the mail. Dues can be sent to Brenda.

Communication: Last year’s mandatory fees were $500.00.

Old Business: Becky will call Woodburn Auxiliary for any interested members who might want to join us.

New Business:

Becky addressed change in by-laws. Current by-laws state meetings are to be held on every other Monday of the month and that will change to every other Wednesday.

Becky visited the activities’ director, Nicole, at Majestic. At her suggestion, we will purchase boxes of candy, along with a card, for Veterans Day gifts. These will be taken over on November 9 in the morning. Christmas gifts will be the gift sets we have done in the past. We are hoping to have a Christmas “party”. We will do this on December 20. The staff at Majestic would like to do haircuts again if they can find someone to do them.

For the VA hospital, we will bring food items to donate to the food pantry. Items will be collected at the November 15 meeting.

The next Fourth District meeting is October 8. There will be a Chinese auction. Becky will purchase a Wal-Mart gift card of $25.00 to donate for the auction.

Becky went to a memorial service on August 26 for longtime member Virginia Howell who passed away earlier in the summer.

The Legionnaires will be meeting back at the Moose Lodge in New Haven in October. There is no progress in finding a new location. They meet the second Tuesday of each month. The Executive meeting is at 6:15 with the regular meeting at 7:00. All members of the Legion are welcome to attend.

Meeting was called to order by Becky. 

Roll Call:  officers present:  President, treasurer and secretary were present.  There were a total of 6 members present.

Secretary’s Report:  Minutes from March 16, 2022 were read and approved.

Treasurer’s Report:    Andrea reported there is a current balance of $3,491.21 in the general fund and a balance of $5,088.05 in the restricted fund. 

Membership:  The goal for this year’s membership is 146 seniors and 7 juniors.

New Business:

Becky reported items from the 4th district meeting.  The VA hospital is having a baby shower and is asking for gas cards.  A motion was made and approved to make a donation of a total of $500.00.  Half will go to the baby shower and the other half will be used for gas cards.  Twenty girls from the 4th district are going to Girls’ State at Trine.  Woodburn Auxiliary has disbanded and Becky will call to see if any of their members would like to join our group.  Waynedale Auxiliary is having a bazaar on June 4.

Poppy news:  Helen and Sandy are going to Do-It-Best on Thursday, May 26.  Helen sold poppies at her garage sale.  The Ft. Wayne newspaper will publish an article on May 24.  Poppies will be sold on Memorial Day at Schnelker Park.  Keri Bercot sent out letters to members for poppy donations.  Up to this point, Keri has received $435.00.

We are going to meet at Ziano’s for our June 15 meeting at 6:00 p.m.  Please RSVP to Becky by June 1.  Call 749-1795 or e-mail at beckyjobeard@aol.com.  Members with 45 years or more, along with a guest, will be invited to attend and be recognized for their service.

Spring, 2022 Newsletter

Commander Notes:

It has been a while since our last newsletter.  I hope everyone had a safe winter.  We are all looking forward to a nice warm and sunny spring.

To start off, I want to thank Bill DeVore for all these years he has done our finances.  He is retired as of June 30th.  He and Steve Sowers have done an awesome job without being paid a cent!

Thank you to those who came to our “picnic” in October.  We had a good turnout.  Thank you to Post #47 for catering the meal.

We are into gathering nominations for officers.  All positions are open at this time, except the ones that are automatic.  This means that the 3 year board members go to 2 year and the 2 year goes to 1 year.  Please contact Larry Beardsley or Jeff Herman if you wish to run for an office or better yet, come to the meetings.

Everyone thinks we need a building.  I wish you could have been to the meeting where Rob Burkhart (Northern District Vice-Commander) talked to members about how his Post has not had a building for about 12 years.  He explained that you can still do a lot of good for the community and the Legion if you stick together and do the work

Just a reminder that members of all Legion families are invited to meetings, which are on the second Tuesday of each month at 7:00 p.m. at the Moose Lodge in New Haven.

Let’s all stick together and get the offices filled so we can keep our Legion together.

We still have a number of members who have not paid their 2022 dues.  If you have not paid 2022 dues, you are in a grace period until June 30 of this year.  After that, you will be considered as an inactive member and it will take a bit of work to restore your active member status and to restore your years of continuous membership.  Dues can be sent to:

In a related matter, the National Headquarters sends out dues notices periodically.  For reasons we here at Post 330 cannot control, a member who has paid their annual dues may receive a second (or even third) dues notice.  We have had several members pay dues in response to one of these notices even though they may have already renewed their membership.  Please check your records before you respond to a 2022 dues notice.  And, finally – the American Legion membership year ends on June 30.  As of 1 July, 2023 dues will be payable. 

Annual Meeting Notice:

This notice shall be considered to be the notice required by Article II, Section C (Calling the Annual Meeting)  of the By-Laws of American Legion Post 330, Revised April 2011:

The annual meeting will be held on the first Tuesday of June, June 7th at 7:00 PM at the Moose Lodge at 432 Broadway in New Haven, Indiana.   At this meeting, officers for the 2023 Fiscal Year will be elected by secret ballot.  Candidates for elected offices will be presented by the Nominating Committee and nominations may be submitted from the floor.

First Vice-Commander

Third Vice-Commander

Adjutant

Finance Officer

Member-at-Large (Three year term)

Even though we do not have a building with a “Post 330” sign on the front, we do not stop functioning as an American Legion Post.  The purpose of the American Legion is to support and help veterans, not run a diner or a bar.  We need to find officers that will help us focus on this mission.

We must have three critical offices filled to keep our Post Charter; Commander, Adjutant and Finance Officer.  After many years of serving as our Finance Officer, Bill DeVore has regretfully informed us that he will no longer act in that role next year.  Ed Klotz has also indicated that it is time for someone else to take over the role as Post Commander.  Larry Beardsley has agreed to continue as Adjutant, but there are a number of offices that need to be filled with people who are willing to make Post 330 an organization that acts as a Veteran’s Service organization – not a bar and short order restaurant.  We need people to fill these offices!

It is time to step up and act – or to admit that we have lost our focus and turn our Charter back to the Department of Indiana. 

Sons of American Legion (SAL) Notes:

The monthly SAL meetings for Squadron 330 have been combined with the Legion meeting and it is 7:00 p.m. on the 2th Tuesday of each month at the Moose Lodge in New Haven. We really need members to attend the meetings!  They are informative and will keep you up to date on what is happening with Post 330.

The Squadron 330 Scholarship applications are available and due back to us by April 15, 2022.

American Legion Riders (ALR) Notes:

If you are not aware, the Riders disbanded this fall.  We are sorry to see them go.

Auxiliary:

Thank you to all who donated items for the bake sale at the “picnic” in October.  And thank you Ruby Bultemeyer for getting this organized!  We made about $350.00.

If you have not paid dues yet, please do so soon.  Dues are $30 for seniors and $7 for juniors.  We currently have 152 paid members.  You may send dues to Brenda Doster at 1125 Lake Pointe Cove, Ft. Wayne, 46845.

The Legion adjutant, who happens to be my husband, has included Auxiliary members in his Legion email list.  Hopefully, those of you who have not given me that info are receiving Auxiliary notes from your significant others who are Legion members.  I am posting Auxiliary news on the website: AmericanLegionPost330NewHaven.org.  Check it out for this month’s meeting minutes. I have looked into other places to have our meetings.  The New Haven Library has just added evening hours after COVID, so I will call there again.  The Moose has a big drawing on Wednesdays and gets pretty loud and busy.  The New Haven Community Center, typically, does not let organizations meet there on a regular basis.  However, we did get permission to meet there in May.  Our next meeting is May 18 which will be held at the New Haven Community Center.  It is behind McDonald’s on Highway 930 in New Haven.  It will begin at 6:00 p.m. and snacks will be provided.  Just a heads up, our June 18 meeting will be at a restaurant.  We will plan for this in May.

The Auxiliary members are going to collect non-perishable items and paper products for the VA Hospital in Ft. Wayne, as well as snacks for oncology patients. Please bring these items to the May meeting.  If you would like to donate, you may also call Marilyn Herman at 749-1218 or Becky Beardsley at 749-1795 to drop off your items. The list will be posted on the Legion website under Auxiliary.

May is Poppy Month. You will be receiving the annual poppy letter. (Thank you Keri Barbier for doing this again.)

Please consider making a donation.  This money goes into our restricted fund and can be used for veterans only.   We will look into selling poppies at Do-It-Best this year and will also participate in the Memorial Day service at Schnelker Park.

As stated in the Commander’s report, we don’t need a building to remain a Unit, we just need to stick together.             To do this, we need you to come to meetings.  Out of our 152 members, only 4-6 attend meetings. And with that said, it is time to elect officers.  Please come to the May meeting to choose your officers for next year.

Unit 330 Meeting Minutes; March 16, 2022

March 16, 2022

Meeting was called to order by Becky.  Becky led the Pledge and Preamble.

Roll Call:  officers present:  Secretary, President, Treasurer, Sandy Dager, Helen Miller, Brenda Doster

Secretary’s Report:  Minutes from January 19, 2022 were read and approved.

Treasurer’s Report:    Andrea reported there is a current balance of $3,854.27 in the general fund and a balance of $5,089.79 in the restricted fund.  The money spent for veterans gifts’ at Christmas was taken from the restricted fund and $362.86 for Christmas. Total cost for blankets was $641.37.  The Riders made a donation to the Auxiliary when they disbanded and this money was put into the general fund.  Money from the general fund can be moved into the restricted fund, if needed.

Membership:  The goal for this year’s membership is 154.  There are currently a total of 137 seniors and 8 juniors for a total of 145.  We are at 94.16% of our goal.  Membership dues can be sent to Brenda or done online.  Dues will be kept at $30 for seniors and $7 for juniors.

Communication:   There was no communication.

Old Business:  Becky looked into finding a new meeting place.  New Haven Library is not open in the evenings.  New Haven Community doesn’t allow organizations to have regular meetings there.  The Moose is available but has a big drawing on Wednesday and is busy.  Our next meeting will be at the New Haven Community Center May 18 at 6pm and we will take it from there.

New Business:  $300.00 was sent to Girls’ State to support Rebecca Fortman from New Haven High School.  May is Poppy month.  Keri Barbier will be sending letters out asking for donations. Helen is willing to go to Do-It-Best to sell poppies if their workers are back.  Becky called and Do-it-Best is willing to let us sell poppies at their corporate office and asked us to come back next year.

We discussed ways to help veterans even though we don’t have a building.  We are going to collect non-perishable items to donate to the VA.  Please bring your items to the May meeting.  (See the attached note from Becky.)

Our next meeting will be May 18 at the New Haven Community Center, 2022.  (There will be snacks.)  We will be electing officers.  Becky, Marilyn and Andrea are willing to keep their positions.  We need a Parliamentarian.  In order to maintain our unit, we need a President, Secretary, Treasurer and Parliamentarian.

A Note From Becky:

In other news, we will be able to sell poppies at Do-it-Best.  And I was told to plan to come next year even though the location of the company will have changed by then. I will get with Helen to set up a date. 

Here is a suggested list of items to donate to the VA hospital:  Gatorade, water, individually wrapped snacks (peanut butter crackers, granola bars, muffins, chips, cookies etc.)  coffee supplies (regular coffee, sugar, creamer, 8 ounce cups/lids, stir straws, napkins and paper towels, non-perishable items, manual can openers, paper/styrofoam plates and bowls, peanut butter and jelly, plastic utensils, and reusable grocery bags.  Please bring these items to our May meeting.  Call Becky at 749-1795 or Marilyn at 749-1218 to pick up items.

We have several women who have been Auxiliary members for 50+ years.  I would like to invite and recognize them at our dinner in June.  We will discuss this in May.

2022 Sons of the American Legion Scholarship Application

The application for The Sons of the American Legion 2022 Scholarship in memory of Linda Hilton is now available to graduating High School Seniors.


The application must be completed and submitted as described in the applicaton no later than April 15, 2022.

Unit 330 Auxiliary Meeting Minutes – January 2022 and Scholarship Information

Auxiliary Meeting Minutes

January 19, 2022

Meeting was called to order by Becky. 

Roll Call:  Officers present:  President and secretary were present.  There were a total of 4 members present.

Secretary’s Report:  Minutes from October 20, 2021 were read and approved.

Treasurer’s Report:    Andrea reported there is a current balance of $3,882.77 in the general fund and a balance of $5,087.79  in the restricted fund.  A motion was made and approved to use money for the veterans’ gifts from the restricted fund.  When the ALR disbanded, the Auxiliary was given $500.00.  There is not restriction on what this money can be used for.

Membership:  The goal for this year’s membership is 155.  There are currently a total of 89 members: 125 seniors and 8 juniors.  That puts us at 86% of our goal.

Communication:   Becky read a note from 4th district President, Beulah Maczat thanking us for our contribution for a blanket to be raffled off at a district meeting.

Old Business:  There was some discussion about Veterans’ Day and Christmas gifts for veterans at Genesis.  Leftover gifts were donated to the VA hospital.  Ruby reported the bake sale at the picnic brought in $311.50.  There were about 80 people attending the picnic.

The search for a new post is ongoing and the Legion will keep us updated.

New Business:  Marilyn gave a report about Girls’ State.  Applications are at NHHS and due to her by the end of February.  We agreed to send a representative from Post #330.

Becky and Larry attended a gathering of Senator Braun’s staff at the Memorial Shrine Museum.  There were representatives from various areas regarding Veteran concerns.

A former member of the Auxiliary, Linda Hilton, left a portion of her estate to the Legion.  This money is to be used for scholarships.  SAL will take care of this.  They will have information our soon about the timeline to submit applications.

Auxiliary minutes, as well as other news, will be posted on the Legion website.

 Becky presented some information about various services available from the ALA.

Our next meeting will be March 23, 2022 at Post 47 at 6:00 p.m. Becky has explored other options for meeting place and for now will continue to meet at Post 47.

Scholarship News

I have received information about several scholarships available.  All applications are due by March 1-unless otherwise stated.  They are as follows:

Children of Warriors National Presidents’ Scholarship: candidates must be in their senior year of high school and daughters, sons, grandsons, granddaughters, great-grandaughters or great-grandsons of veterans serving between April 6, 1917 to November 11, 1918, and any time after December 7, 1941.

Junior Member Loyalty Scholarship:  candidates must have held membership in the Auxiliary for the past three consecutive years and must be a current junior member.  These are for girls who are at least in their first semester of college.

Spirit of Youth Scholarship for Junior Members:  candidates must have held membership in the Auxiliary for the past three consecutive years and must be a current junior members.  Applicants must be in their senor year of high school and must have at least a 3.0 GPA.

Hoosier Academic Gift:  candidates must be the child, grandchild, or great-grandchild of a veteran of WW1, WW2, Korean, Vietnam Hostilities, Beirut, Grenada, Panama and Persian Gulf and who is financially unable to attend college.  The candidate must be between 16 and 22 years but cannot have attended college yet.

Firkins Veterans’ Children Academic Gift:  candidates must be high school seniors and a current member of the Auxiliary, SAL Detachment of Indiana or a dependent of an Indiana American Legion member and going to a junior college, trade school or community college. Applicants must have a minimum GPA of 2.0. 

Academic Gift for Junior Members: candidates must have been Junior members for the past five years and be a current members. Applicants must also be a senior in high school with a GPA of at least 3.0. APPLICATION IS DUE MARCH 15, 2022.

Past Presidents’ Academic Gift: candidates must be a daughter, granddaughter, or great granddaughter of an Auxiliary member (or deceased member) who needs financial assistance in order to attend an accredite school fo any medical training and must be a member of the Auxiliary. APPLICATION IS DUE MARCH, 15, 2022.
